The Terraces Retirement Community

Property Manager:
The Terraces, a 55+ independent living condominium community in Shelburne, seeks a Property Manager to oversee the day-to-day operations of the property and its programs.  As the Property Manager, you will be the heartbeat of our community. You will work with the Board of Directors to develop and execute strategies to enhance resident engagement and drive growth.

Qualifications: The Property Manager must have an aptitude for, general knowledge of, and some expertise in accounting, and at least three years of experience in retirement community management or similar organization (apartment, hospitality, medical facility).  In addition, they must have a pleasing personality, observable common sense, and a demonstrable, sincere interest in working with a 55+ individuals in a retirement setting.  College educated, with at least a Bachelor’s Degree in an appropriate field preferred.

Job Summary: The Manager is appointed by the Board of Directors and functions only with their advice and consent in:

  • Assuring efficient, orderly functioning and maintenance of The Terraces.
  • Accounting for and reporting on all Association financial affairs.
  • Hiring, overseeing training, motivating, supervising and evaluating Employees.
  • Maintaining effective public relations within the outside community.
  • Sustaining Morale with employees and Terraces community.

Fundamental Duties: At a minimum, the Property Manager will:

  • Help new Residents/Owners become oriented and comfortable.
  • Prepare, distribute, and otherwise make available, to all Owners, Residents, and Employees, up-to-date   documentation regarding the Association, i.e., its ongoing business data, Rules and Regulations, Emergency Procedures, Employment Policies.
  • Cooperate with real estate agents, as requested, in describing Units that are offered for sale.  NOTE: The Property Manager shall not and is not responsible for selling units.
  • Make time to meet with Residents, listen to their comments, and advise them, as possible, particularly in the event of a health or safety problem.

Specific Tasks:   In meeting the responsibilities and discharging the duties outlined above, the Property Manager must perform the following:

  • Establish and maintain Bank Accounts with Board Treasurer.
  • Collect, record, and deposit monthly assessments.
  • Pay all proper bills and payrolls in a timely manner.
  • Maintain files and records as specified by the Association’s accountant.
  • Prepare and file tax returns with Association accountant.
  • Develop an Annual Budget for Board Approval.
  • Prepare and present monthly reports to the Treasurer.
  • Assist members of the Board and Association Officers as necessary by preparing and distributing notices, maintaining Minute Books, and recording official documents.
  • Conduct regular inspections of the Buildings and Grounds and report findings at the Board Meetings.
  • Maintain an annual calendar for property maintenance.
  • Monitor and test all health, safety, and security equipment and systems.
  • Maintain a list of capital improvement projects in the community.
  • Contract for necessary third-party services.
  • Maintain effective public relations, including website and community newsletter.
  • Develop and disseminate appropriate advertising materials.
  • Assure compliance with all pertinent regulations.
  • Conduct regular Staff meetings.
  • Oversee the training of all Staff members.

Work Environment and Physical Demands:

  • This job requires some physical activity relating to maintenance of the facility.
  • Must be able to lift 50lbs.
  • Be available evenings, nights and weekends when needed.
  • Be able to step in and take on duties of staff when needed.
  • Shovel snow, trash removal, painting, and other building maintenance when needed.
  • Visual and auditory ability to respond to critical situations and physical ability to act swiftly in an emergency.
